Q: How do I interact with Recruiters?

A: As an Employer, you control your communication with Recruiters. Through the HeadHunter Health Exchange system, Recruiters cannot initiate conversion with an Employer, beyond submitting candidates to open positions. This policy streamlines the recruiting process for all parties involved - decreasing the amount of non-relevant emails and phone calls you receive from recruitment agencies.

Q: How do I post, edit, and manage my job postings?

A: With HeadHunter Health Exchange, it's easy to post, edit, and manage job postings. After registering and receiving your unique login, posting each position takes less than 5 minutes. You will receive email alerts when Recruiters submit Candidates (healthcare resumes) to open positions, ensuring you are always in the know. With one click, either "Accept" or "Reject" each Candidate submission. Once a Candidate is "Accepted", work directly with the Recruiter to schedule an interview. Q: How does HeadHunter Health Exchange help me achieve Operational Efficiency?

A: First, Recruiters can only respond to positions submitted through the HeadHunter Health Exchange portal. This policy ensures each communication you have with a Recruiter is helping to move a Candidate placement forward. Second, The HeadHunter Health Exchange portal is designed with the end-user in mind. Each step of the recruiting process is taken care of - post open positions, accept Candidate submissions, schedule interviews, submit an employment offer, and hire the candidate - all through the HeadHunter Health Exchange portal. Third, by submitting a job order to HeadHunter Health Exchange, recruitment agencies specializing in healthcare around the country will be notified of your open positions. This will increase the quality of candidates submitted and time to hire. We streamline the recruitment process so you can select the best candidate among those available in the least amount of time. Finally, at each step of the process you are sent automatic email alerts. As an Employer, we know your time each day is limited. Therefore, rather than being forced to login to the HeadHunter Health Exchange portal multiple times a day to stay on top of your job orders, we notify you via email that an action has been taken or a candidate submitted. Once you are fully utilizing the HeadHunter Health Exchange system, you will find that the extra time you had to spend each day with multiple Recruiters through phone and email communication (prior to their submission of qualified candidate) will be eliminated. We believe that is a pretty attractive proposition.

Q: I don’t typically use recruiters, why should I use you?

A: There are many reasons to use HeadHunter Health Exchange. Here are our favorite three:

1. We are healthcare specific and have recruitment agencies around the country with expertise in filling your most critical roles.

 2. Sign one contract, receive one invoice, have one "point of contact", yet work with HeadHunters around the country.

A: The internet has become a vehicle to information that was previously unavailable to employers. HeadHunter Health Exchange was designed to provide hiring managers with a new approach to recruitment. We believe our portal brings a tremendous advantage to Employers, helping you streamline your recruiting process and accomplish more, faster. Remember, there is no additional cost to using our services.

Q: What does your service cost me?

A: There is no cost to you to post positions on HeadHunter Health Exchange. As an Employer, you continue to determine the fee that you are willing to pay for a specific position. Payment for hires will not be any different than before, expect that HeadHunter Health Exchange will handle all "back office" invoicing and contracts for both sides of the employment transaction. Regardless of how many candidates you post and hire and how many Recruiters you work with during the process, you will have only one point of contact - HeadHunter Health Exchange.

Q: How will I respond to all candidate submissions for a position?

A: It is very easy to review each Candidate submission and "Accept" or "Reject" quickly. Should you want to pursue a Candidate further, simply click the "Accept" button to learn more about that Candidate and contact the recruiter to schedule an interview. Alternatively, hit the "Reject" button to remove them from submission list.  With each choice, an email notification message will instantly be sent to the Recruiter - saving you time and moving the process along efficiently.

Q: How does the back office (invoicing, Period of Guarantee, etc...) work?

A: After HeadHunter Health Exchange focuses on streamlining the back office portion of the recruiting process for both parties. Therefore, Employers sign only one contract and, regardless of how many placements they make, receive invoices only from HeadHunter Health Exchange. Once a successful placement has been made through our portal, a HeadHunter Health Exchange Administrator will work directly with your accounts payable representative to process the recruiting fee due within 45 days of the start date. Once paid, we hold the fee in an escrow account until a majority of the Guarantee Period has passed. At that time, we submit payment to the Recruiter that participated in sourcing the candidate. If for any reason the placement falls through during the 90 day Guarantee Period and after the fee has been paid, HeadHunter Health Exchange serves as the mediator, working with the Recruiter to refund the placement fee in full.

Q: How does the “Recruiter of Record” process work?

A: When a Recruiter submits a candidate to an open position, the HeadHunter Health Exchange portal automatically cross-references each candidate that has been previously submitted for a specific job. If a match is found, the Recruiter is notified and their submission is revoked. If a match is not found, the Recruiter is then marked the "Recruiter of Record" for that particular candidate. In other words, a candidate may not be submitted by more than one recruiter.

Q: Will Recruiters have access to my contact information?

A: No. Recruiters will not be able to access an Employer’s contact information within the HeadHunter Health Exchange portal. After an Employer posts an open position, Recruiters submit candidates through our portal. Once an Employer has “Accepted” a candidate, they will work directly with the Recruiter to coordinate the next step in screening a potential hire. The Employer will then have the choice of providing their contact information to the recruiter.

Q: As conflicts do occasionally occur, how are they resolved?

A: With HeadHunter Health Exchange, all users agree to the same “Contract” and “Terms and Conditions”. Usually, these formalities remove the ambiguity that causes conflicts in the first place. However, conflicts may still occur. HeadHunter Health Exchange Administrators handle conflict resolution by initially contacting each party involved to ensure the conflict isn't a result of a communication error. If an easy remedy does not exist, HeadHunter Health Exchange serves as the nonpartisan mediator throughout the process until a successful outcome has been reached.
