Recruiter's FAQs

Q: How is HeadHunter Health Exchange different from other portals on the market?

A: We are different from other recruitment portals in a few important ways: First, we are healthcare specific providing a unique web-based portal for healthcare employers and recruiters. Second, every candidate you submit remains your intellectual property. With other portals, a candidate’s information becomes the portal’s intellectual property once a defined amount of time elapses (for example, six months). We fundamentally disagree with this approach. The candidate is and always will be your intellectual property. In addition, the most exciting difference between HeadHunter Health Exchange and the competition is our ability to help recruiters earn passive income. With every candidate you submit to job positions through our portal, you have the ability to "queue" that candidate. Once queued, you will be sent a notification email (referred to as “Match Making”) alerting you of a new position every time an Employer submits a job opening that matches the candidate's qualifications. Contact your candidate and verify their interest. Then submit the candidate officially through the portal to the new position. The longer you use HeadHunter Health Exchange, the more candidate “Match Making” notification emails you will receive and the more placements you will make.

Q: What does it cost recruiters to use HeadHunter Health Exchange?

A: Less than you might think. Rather than charge recruiters a set fee to access the pool of job postings in our Network, HeadHunter Health Exchange only receives payment when a successful placement is made. Recruiters pay HeadHunter Health Exchange a set percentage – 20% - of each placement fee. We think this is better than average compensation, considering a “split” placement fee to work with another recruiter is much larger - typically 50%.

Q: How and when do I get paid?

A: HeadHunter Health Exchange operates with a standard 90 day guarantee period. We handle the processing of all recruiting fees for you. Once a successful placement is made through our network, we send an invoice to the Employer for the full placement fee on the candidate’s start date. Once the Employer has submitted their payment, HeadHunter Health Exchange places the fee in escrow. For fees less than  $15,000.00 the entire fee will be paid to the recruiter at 60 days less a 20% management and processing fee. (Please review "How does the Candidate Guarantee Work"?)  If the fee is $15,000.00 or more,  the recruiter will receive half of the fee at 60 days from the start date. The remainder of the fee will be sent at the end of the 90 day guarantee period less a 20% management and processing fee.  HeadHunter Health Exchange allows you to essentially outsource your back office to us. We take care of invoicing, contracts, and dispute resolution on your behalf, enabling you to focus on the part of your job that really makes you money – sourcing candidates.

Q: How does the Candidate Guarantee work?

A: After a successful placement has been made, HeadHunter Health Exchange invoices the Employer on your behalf for the full fee. We place the fee in an escrow account until 60 days have passed from the candidate's start date. At that time, HeadHunter Health Exchange sends full payment to the recruiter that successfully sourced the candidate if the fee is less than $15,000 minus a 20% management and processing fee. If the fee is $15,000 or greater, the recruiter will receive haIf of their portion of the fee at 60 days from the start date. The remainder of the fee will be sent at the end of the 90 day guarantee period less a 20% managment and processing fee. If for any reason the placement falls through during the last month of the 90 day Guarantee Period, HeadHunter Health Exchange and the recruiter are responsible to refund the fee to the Employer. If the fee has been paid to the Recruiter, the Recruiter is obligated to refund the fee to HeadHunter Health Exchange within 30 days of notice.

Q: Does it cost to join?

A: No, there is no up-front cost or fee to join the HeadHunter Health Exchange employment network. Recruiters only pay a percentage of each recruiting fee (20%) earned through utilization of the HeadHunter Health Exchange Portal. It’s that simple.

Back to FAQ

Q: Can I do "splits" with other Recruiters?

A: Of course! Placements can be made in conjunction with other recruiters within the HeadHunter Health Exchange employment network. The recruiter that submits the candidate becomes the "Recruiter of Record" and receives 80% of the placement fee from HeadHunter Health Exchange.  At that point, the person designated as "Recruiter of Record" can submit payment to the other recruiter involved in the transaction.

Back to FAQ

Q: How does my interaction with the client work?

A: HeadHunter Health Exchange focuses on streamlining the recruiting process for all parties involved. As a recruiter, you are able to pick and choose the job postings you work to source. Select job orders using criteria such as the placement fee, geographical location, or healthcare niche. Once you have sourced a candidate (or several) for any job order in our portal, submitting the candidate is easy. If the Employer wishes to speak with a candidate you’ve submitted, you’ll be notified of their interest and be able to communicate directly with them to schedule an interview. All job orders within HeadHunter Health Exchange operate on a contingency agreement (meaning you get paid once the placement is finalized). When a successful placement has been made, HeadHunter Health Exchange steps in on your behalf to invoice the client and handle payment processing.

Q: How do I engage an Employer and submit a candidate?

A: Once you are ready to submit a candidate to a job order within the HeadHunter Health Exchange system, the first step is to create a “Candidate Profile”. You will submit required information about the candidate and upload the candidate's resume. Next, the record will be sent to the Employer, who has the option to "Accept" or "Reject" your submission. You are notified immediately via email once an action has been taken by the Employer. If the Employer accepts your candidate submission, further status updates will be sent to your email account.

Q: How do I know if I am the "Recruiter of Record" for candidates I submit?

A: Great question. As each candidate is submitted to open job orders, the HeadHunter Health Exchange system instantly cross-checks previously submitted candidates. If the candidate has not been submitted previously for that specific position, you are marked the "Recruiter of Record". Any submissions of that candidate by other recruiters past that point will be rejected. Alternatively, if you submit a candidate for an open position that has already been submitted by another recruiter, you are notified immediately via email.

Q: How do I know the status of my candidate?

A: If an Employer is interested in speaking with a candidate that you have submitted for a Job Order to HeadHunter Health Exchange, you will be notified in two ways. First, a notification email will be sent to the email address you specify in your online profile. Second, when you login to the online portal, an alert will be shown within your profile to notify you of the Employer’s interest. At HeadHunter Health Exchange, our primary focus is to streamline the recruiting process for all parties involved. Therefore, at every step throughout the recruiting process, a notification email will be sent to the email address you specify to ensure you are always “in the know.”

Back to FAQ

Q: How do I view open positions?

A: You will keep track of open positions in a few different ways. Firstly, a recruiter has the option to create a profile specifying their recruiting specialty. When any Employer posts a position that matches your criteria (based on a combination of geography and/or specialty), you will receive position details via email. Secondly, if you are working to place a specific candidate, or are ready to initiate a search based on a position already loaded into the portal by an Employer, search the HeadHunter Health Exchange Portal at any time by geography, specialty, or even the recruiting fee. At that point, pick and choose which positions you work to source.

Q: How does HeadHunter Health Exchange help me earn passive income?

A: As a HeadHunter, candidates are your currency. As you submit candidates through the HeadHunter Health Exchange Portal, you have the option to “queue” each submission. Once a candidate is “queued”, select information about the candidate is stored in our portal. As other Employers submit job orders with qualifications that match a “queued” candidate submission, you are notified via a “Match Making” email that there is a potential placement opportunity. Contact the candidate to determine their interest in the position. Once interest is verified, submit the candidate for consideration. The longer you use the HeadHunter Health Exchange Portal, the more “queued” candidates you will accumulate (and “Match Making” notifications you will receive).

Back to FAQ

Q: What if I do not hear back from the Employer when I submit a Candidate?

A: Once an Employer receives and "Accepts" a Candidate through the HeadHunter Health Exchange system, the Hiring Manager has the choice of moving ahead in the process and scheduling an interview or rejecting the candidate based on qualifications. If the Employer fails to take action on the "Accepted" Candidate, the HeadHunter Health Exchange Administrator is notified and contacts the Employer to follow-up on the Candidate's status.

Back to FAQ

Q: Who owns the candidate and for how long?

A: You (the Recruiter) always retain ownership of the candidate. Unlike other portals where the ownership transfers over to the portal owners after a specified period of time, the candidate you submit will remain your intellectual property.
